About the OPPORTUNITY
We currently have an exciting opportunity to join us as a Project Administrator within our Hunter Class Program supporting our Requirements, Verification, Commissioning Acceptance (RVCA) team. Reporting to the HCF Test Commissioning Manager, this role is responsible for providing critical administrative services to the team located across various States, ensuring the effective planning, execution, and delivery of project objectives. The RVCA Project Administrator plays a key role in enabling smooth project operations and supporting all levels of the RVCA team.
We embrace flexible work arrangements at BAE Systems Australia such as a 9-day fortnight. This role will be based in our Osborne Shipyard in SA.
Key responsibilities include:
Site orientations, team inductions, maintaining calendars, coordinating meetings, maintaining organisational charts and distribution lists
Assist with training including bookings and maintain completion matrices to keep the team current
Office management duties
Assist travel arrangements including international travel approvals, booking support and any emergent travel demands
Act as local point of contact for external and internal stakeholders
Identify opportunities for process and office management improvements/ design and implement new systems
Lead documentation and records management
Support team Communication and reporting as required
Provide procurement and logistics support
Support with timekeeping responsibilities
About YOU
Previous experience in a similar role
Excellent communication skills required, both written and verbal
Exceptional attention to detail
Ability to work autonomously
Anticipates needs and determines appropriate actions and strategies
Strong organisational and time management skills with the ability to effectively prioritise
A proactive and can-do approach
Team orientated with the ability to work with a variety of people
Ability to recognise and deal discreetly with sensitive matters and demonstrate integrity of the highest order
Organisational and problem-solving skills
Ability to interact effectively with colleagues within and outside the immediate team, to implement office requirements
Intermediate skills in Word, PowerPoint and Excel
Eligibility for a Negative Vetting Level 1 Defence security clearance
