Roberts Markel Weinberg Butler Hailey PC (RMWBH Law) is seeking a professional, proactive, and highly organized Administrative Assistant to provide comprehensive support to our Senior Shareholders in our Galleria office. This is a full-time, in-person position with hours Monday through Friday, 8:30 AM – 5:30 PM.

Responsibilities:

Manage and maintain an active calendar of appointments, meetings, and events; coordinate schedules and resolve conflicts for the Senior Shareholders.
Arrange and confirm detailed travel plans, itineraries, and agendas; prepare and organize all necessary documents for meetings and travel.
Provide administrative support to the Human Resources Department, including candidate screening, scheduling interviews, sending first-day email, onboarding, new hire orientation, and I-9 verification.
Process and track monthly expenses and reimbursements in accordance with firm policies.
Prepare and edit correspondence, reports, presentations, and other business documents.
Serve as a point of contact for internal and external inquiries, ensuring professional and timely communication.
Monitor and follow up on upcoming commitments, priorities, and action items to ensure deadlines are met.
Assist with meeting preparation, including room setup, materials distribution, and catering arrangements when needed.
Provide support on special projects and perform additional duties as assigned.
Requirements:
Qualifications:

Bachelor’s degree preferred.
Prior experience as an Administrative Assistant required; legal assistant or paralegal experience is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) with advanced skills in formatting documents, creating templates, and producing polished presentations.
Strong ability to accurately transcribe handwritten notes into clear, well-formatted Word documents.
Skilled in editing and proofreading documents for grammar, style, and clarity.
Excellent organizational and time-management skills with the ability to prioritize and handle multiple tasks simultaneously.
Strong written and verbal communication skills, with a professional demeanor in all interactions.
High attention to detail and commitment to producing accurate, high-quality work.
Ability to handle sensitive and confidential information with discretion.
