Job Summary

Experience Required: None – Entry-Level Welcome
As an Administrative Assistant / Executive Assistant, you will work directly with the executive team to help manage day-to-day tasks, organize schedules, coordinate communication, and ensure smooth office operations. This is an entry-level position, perfect for someone eager to learn and grow in the construction, design, or administrative field.

Responsibilities

Manage calendars, schedule meetings, and coordinate appointments
Assist with preparing reports, presentations, and internal documents
Handle phone calls, emails, and other correspondence professionally
Organize digital and paper files and maintain company records
Support project documentation and communication
Track expenses, receipts, and invoices
Help with office tasks like ordering supplies or organizing meetings
Liaise with clients, consultants, and vendors when needed
Support executives with personal or business-related tasks
Coordinate and direct construction workers and subcontractors
Prepare internal and external reports pertaining to job status on a project basis.
Perform other administrative duties as assigned
Request and organize material quotations from vendors and suppliers
May require travel to job sites or vendor locations for sample pick-up or deliveries
Qualifications

No prior experience required – training will be provided
Strong organizational skills and attention to detail
Comfortable using Microsoft Office (Word, Excel, Outlook)
Good communication skills (written and verbal)
Ability to multitask and manage time effectively
Positive attitude, willingness to learn, and team-oriented mindset
High school diploma or equivalent (college degree is a plus but not required)
Job Types: Full-time, Contract

Pay: $60,000.00 - $72,000.00 per year
