Commencing : As soon as possible
Permanent : 35 hours per week, 12-month position
Position Description:
The position is responsible for performing a range of human resources and administrative duties for the Human Resources Services (HRS) team. The performance of the duties must ensure a quality service approach to all employees. Reporting to the Supervisor of Disability Management, the Human Resource Services Officer will support the administration and coordination of employee health and wellness supports for Bluewater District School Board.
The HRS Officer will support the vision, mission, and values of Bluewater District School Board, while contributing to a positive, supportive and student-focused team environment of respect, integrity, dedication, and readiness, embracing diversity and fostering inclusion.
Duties and Responsibilities:
Assist with identifying, developing, and implementing tier-one employee wellness and support initiatives.
Implement the attendance support program (ASP) including identifying cases, notification, tracking, communication, meetings, and follow-up with employees.
Oversee attendance support cases moving in or out of the attendance support program.
Collaborate with administrators/managers/supervisors to assist with administration of the attendance support program offering support and guidance where required throughout the program.
Assessing sufficiency of medical documentation.
Provide support for assessing accommodation, remain at work, and return to work plans, and review and modification of plans as necessary.
Provide assistance to WSIB, disability case management, and long-term disability (LTD) administration.
Support the absence reporting (SmartFind Express, K212 HRP, EIL) for long-term medical leaves.
Support the administration of WSIB claims and Long-Term Disability applications.
Collaborate with payroll and other partners to monitor and analyze sick leave and short-term disability benefit plan balances to communicate with parties projected dates of exhaustion of benefits taking into consideration accuracy and urgency of important timelines (LTD application waiting periods).
Communicate regularly with union partners for early intervention.
Provide leadership and guidance to HRS and payroll staff to support data integrity of absence history in the Human Resources Information System (HRIS) and coordinate necessary adjustments.
Facilitate the reimbursement of medical expenses (AF 4131).
Ensure accurate and confidential retention of electronic records in data management software and physical files.
Collaborate on onboarding information sessions as related to attendance support, employee wellness, and related benefits and leaves for new hires and refresher training for existing staff.
Flexibility may be required to work outside of regular hours and/or an altered workday to accommodate the position requirements.
Use of personal vehicle to travel to worksites for employee meetings may be required within the school district (mileage is reimbursable in accordance with board administrative procedure).
Other related duties as assigned.
Qualifications and Experience:
Post-Secondary Degree or Diploma in an occupational health or human services field, or other relevant discipline such as mental health, kinesiology, or disability management
Minimum three (3) years of relevant experience
Satisfactory Vulnerable Sector Police Check
Assets:
Certification/designation and membership in good standing with a professional regulatory body such as CHRP/CHRL (HRPA) or equivalent work experience
Certification or experience working with attendance support or disability management
Experience developing stay at work plans while ensuring duty to inquire and duty to accommodate compliance
Thorough knowledge of the Ontario Human Rights Code, Employment Standards Act, insurance plans, and other applicable legislation, regulations, and guidelines
Experience interpreting and applying complex collective agreements, policies and procedures, and knowledge of school board environment.
Proven ability to handle complex, confidential, and sensitive information professionally and with tact
Knowledge and skills using Microsoft Excel, Microsoft Word, Office 365 and related applications, and relevant human resources database systems and other data/case management systems (example, Parklane)
Effective interpersonal, relationship-building, and conflict resolution skills
Strong written and oral communication skills
Self-motivated and self-directed with strong analytical, research, and problem-solving skills
Ability to effectively prioritize and execute tasks within set timelines.
Proven flexibility and ability to adapt to change
Ability to work effectively both independently as well as in a team-oriented, collaborative environment
Access to reliable transportation to and from work
Access to reliable Internet
