Position Summary:

The Executive Assistant and Events Coordinator will provide high-level administrative support to the CEO/Executive Director and play a key role in planning and executing a wide range of events. This position requires a proactive and organized individual with a strong ability to manage multiple tasks and projects simultaneously. The ideal candidate will have a passion for luxury brands, exceptional communication skills, and experience in both executive support and event coordination.



Key Responsibilities:

Executive Support:

- Provide comprehensive administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.

- Prepare and edit correspondence, presentations, and reports on behalf of the CEO.

- Assist in managing relationships with key stakeholders, clients, and partners.

- Handle confidential and sensitive information with discretion and professionalism.

- Organise and prioritise incoming communications, responding on behalf of the CEO when appropriate.

- Manage special projects as assigned by the CEO, ensuring timely and successful completion.



Events Coordination:

- Plan, coordinate, and execute a variety of events, including product launches and private client events.

- Liaise with vendors, venues, and other external partners to ensure successful event execution.

- Develop and manage event budgets, ensuring cost-effectiveness while maintaining the brand’s luxury standards.

- Create event timelines, schedules, and detailed run-of-show documents.

- Coordinate with the marketing and PR teams to ensure consistent branding and messaging across all events.

- Oversee on-site event management, ensuring a seamless experience for all attendees.

- Track and analyse event metrics, providing post-event reports and recommendations for future improvements.



Skills and Qualifications:

- Bachelor’s degree in Business Administration, Event Management, Communications, or a related field.

- Minimum of 5 years of experience in executive support and event coordination, preferably within the luxury retail or hospitality industry.

- Exceptional organisational and multitasking skills, with a strong attention to detail.

- Excellent written and verbal communication skills.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and event management software.

- Ability to work independently and collaboratively in a fast-paced environment.

- Strong problem-solving skills and the ability to handle challenging situations with grace and professionalism.

- Experience in managing high-profile events and working with VIP clients is highly desirable.

- Flexibility to travel and work outside regular business hours as required.
