Job Overview :

The Executive Assistant will manage the planning, execution, and follow-up of our retreats. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks and deadlines efficiently.

The Executive Assistant should be passionate about our mission to help women achieve personal and professional growth.

Responsibilities :
• Set goals for retreat success and implement detailed timelines using Google Calendar and Trello.
• Maintain attendee information, manage... accommodation, and coordinate brand deals and sponsorships.
• Develop and execute marketing strategies, including email and social media campaigns, and update the website.
• Review applications, manage communications, ensure timely payments, and update retreat status online.
• Finalize the retreat agenda, organize matching outfits and photoshoots, and prepare necessary documents.
• Organize calls with the team and venue, manage attendee requirements, and communicate roles and schedules.
• Oversee retreat activities on-site, coordinate with vendors, and provide support to attendees.
• Collect feedback, assess retreat success, prepare reports, and refine processes.

Qualifications :
• 5+ years of proven experience in event planning, project management or similar.
• Background in business administration, management, or a related field; experience in tourism or event coordination is a plus.
• Excellent organizational and multitasking skills.
• Strong English written and verbal communication skills.
• Proficiency in Google Workspace, Trello, and ActiveCampaign.
• Ability to work independently and handle high-pressure situations.
• Ability to work flexibly with the founder and team members to meet deliverables.
