Job Summary:

The Office HR Administrator ensures smooth day-to-day office operations and provides comprehensive employee support by managing facilities, leading office-related projects, coordinating office services, and assisting with HR administrative tasks. This role combines facility management, employee engagement, and operational coordination to maintain an efficient, safe, and welcoming workplace. Fluency in Mandarin is preferred to support communication with global teams and external vendors.

Key Responsibilities:

Facility Office Management (40%)
• Act as the primary point of contact for all office facility matters across U.S. locations, including site selection, lease negotiation and renewal, office openings and closures, as well as day-to-day operations, maintenance, security, parking, and landlord/vendor coordination.
• Develop and implement facility strategies that align with business goals and ensure cost-effective operations.
• Ensure compliance with labor, health, and safety regulations.
• Oversee office maintenance, repairs, and space planning to maintain a safe, efficient, and professional work environment.
• Manage office inventory and supplies, ensuring timely replenishment and proper storage.
• Supervise mail distribution, front desk/reception operations, and access control.
• Coordinate with IT, Finance, and Procurement on office infrastructure projects and service contracts。

Expense Processing Vendor Management (30%)
• Manage the facilities budget, monitor expenses, and identify opportunities for operational efficiency.
• Process and reconcile office-related expenses, including corporate credit card reports, utility bills, and vendor invoices.
• Collaborate with Finance and Procurement on purchasing workflows, including PO submission, budget tracking, and timely payments.
• Build and maintain relationships with key vendors (e.g., cleaning services, catering, courier services), including contract negotiation and performance management.

Employee Services Event Coordination (30%)
• Provide day-to-day employee support, including meeting room scheduling and responding to general office inquiries.
• Oversee employee amenities and workplace perks (e.g., snacks, beverages, wellness initiatives), and coordinate with relevant service providers.
• Organize company events, team meetings (virtual and in-person), and employee engagement activities.
• Support HR administrative tasks in collaboration with the HR team and other stakeholders.

Qualifications:
• Experience: 2+ years in office/facility management, HR administration, or operations support.
• Ability to communicate clearly and effectively, both verbally and in writing, with employees and management.

• Strong organizational and multitasking abilities.
• Proficiency in Microsoft Office/Google Suite; basic HRIS or expense software knowledge a plus.
• Excellent customer service and problem-solving skills.

• Language: Mandarin proficiency preferred

Preferred Qualifications:
• Familiarity with California labor/office compliance standards.
• Experience managing multi-cultural or global team support.

Compensation Range: $70,000 - $100,000
