POSITION DESCRIPTION
The Catering and Conference Services Manager reports to the Director of Catering and Event Services and is the primary contact for booking and servicing the catering and conference business at the hotel. To exceed budgeted revenue and goals. To perform duties in a creative, team oriented and dynamic fashion while always exemplifying the highest standards in customer service, integrity and work ethic. Major areas of responsibility include, but are not limited to the following:
Time management is a key requirement of this position. • Secure inbound business leads and inquiries that support the hotel’s objective of maximizing revenue by evaluating client buying potential • Execute direct sales efforts to target catering accounts in order to increase all types of catering business for the Hotel • Perform sales activities such as sales calls, site inspections, entertainment and sales presentations • Prepare proposals and bid on potential business
Detailing BEO's and servicing events for all market segments for catering and sale team
Complete BEO distribution each week and have ready for DCC to sign by no later than 12pm on Monday.
Issue revised or late BEO’s to all appropriate departments as needed. Any late or NEW BEO’s within 48 hrs to be walked to each department.
Review all prospect and tentative bookings that are in the system for the next three weeks with Sales Managers and give the operations team and update at the Catering meeting at least twice a week. • To meet and exceed client expectations to ensure the success of every event • Maintain and update a database of prospective and existing clients with detailed information profiles about their potential • Take a lead role in communicating client expectations to all Operating Departments through Group Resumes and Banquet Event Orders
Prepare relevant directional signage in the Lobby and as needed
Prepare Hotel Daily Events for electronic function board and ensure all details are correct. • Conducting pre-event meetings, and post-conference meetings with departing groups to address strengths weaknesses of an event while soliciting repeat business • Coordinate all external support for meeting event organizers (linen, equipment, flower and décor rentals etc)
Prepare daily meeting room cards.
Prepare Banquet invoices daily ensuring they are posted the same day.
Produce menu cards, collateral labels for functions.
Ensure there are dietary cards made with the guest name for all events that have special meals. • Create and maintain accurate information on all accounts in Delphi. • Conduct thorough site inspections. • Sell all hotel services with emphasis on catering and food beverage. • Sell hotel bedrooms associated with Catering bookings.
Understand and negotiate room rental rates and minimum food and beverage spend requirements according to sales strategy and guidelines provided. • Be familiar with cut-off dates, attrition and cancellation policies and be able to thoroughly explain them to customer. • Keep hotel management promptly and fully informed of any problems / occurrences so that prompt corrective action can be taken. • Report activities and productions on a weekly basis and measure against plan/goal. • Coordinate with other departments to ensure quality of guest satisfaction. • Participate in sales meetings providing comprehensive information / feedback on accounts • Have a complete understanding and knowledge of the competition. • Understand and utilize Delphi for all account information, while adhering to standards. • Maintain a professional appearance at all times and conduct personal behavior in a mature and professional business manner. • Work closely with the Chef the Banquet Department • Ability to perform other tasks or projects as assigned by the leadership team.
Process SOCAN and Resound reports quarterly
Any other job functions as assigned QUALIFICATIONS: • Minimum 2 years Catering Sales experience in a hotel setting. • College Diploma, University Degree from a Hospitality related program would be an asset • Good command of both written and verbal English is essential • Knowledge of menu planning is required • Experience with Delphi is an asset • Must have the ability to work in a fast paced environment with changing work priorities • Must be decisive and have the ability to work under stressful situations, handling several tasks at a time • Must have the ability to work within time constraints and deadlines • Must have advanced interpersonal skills for dealing with clients, peers, and managers • A professional and courteous disposition is required • Due to business levels working extended hours is sometimes required, including evenings The company will recruit, hire and promote without regard to race, color, age, marital status, sex, sexual orientation, national origin, religion, disability, gender identity, pregnancy or veteran status or any other status protected by applicable law.
