Responsibilities
As a Sales Operations Assistant you will provide administrative support to the hotel and be the liaison between the Sales and Events Office and the hotel Operations Team
Serve as a point-of-contact for guests organizing and attending meeting events at property
Act as a point of contact for the Group Sales Office and Area Sales teams
Assist Sales Managers on area blitzes and client visits as needed
Perform various administrative tasks, i.e
set up house accounts and billing information
Prepare internal and external correspondence, i.e., contracts, proposals, group resumes, and event orders
Create purchase orders and process invoices through Birch Street
Answer all incoming phone calls in a friendly, courteous and timely manner using the appropriate greeting
Distribute reports and information from the Sales Events office to the property Management team, i.e. meeting room functions, events
Respond to customer inquiries in a timely fashion as needed
Act as a liaison between the hotel and sales to ensure successful events
Make individual guest reservations as needed
Assist with Direct Bill accounts invoicing and payment processing
Maintain and order appropriate level of sales collateral
Receive group room "gift bags" for distribution at the Front Desk
Assist in other hotel departments as needed; i.e
Maintain a thorough knowledge of hotel staff, room locations, room rates, hours of operation, amenities and selling strategies
Assist with communication with the hotel operations team and Managers to ensure a seamless guest experience
Ensure basic knowledge of hotel departments and purpose in fulfilling guests’ needs
