Job Purpose:

The Office Administrator is responsible for ensuring the smooth running of the office environment and providing administrative support to various departments. This role plays a crucial part in maintaining office operations efficiently and effectively.

Key Responsibilities:

Administrative Support:

- Manage incoming and outgoing correspondence (calls, emails).
- Organize and schedule meetings, appointments and travel arrangements.
- Prepare agendas, ability to manager Calendars for Senior Leadership and take minutes during meetings.
- Good Excel and PPT skills.
- Assist in the preparation of reports, presentations, and data analysis for global stakeholders.
- Self driven and high energy, to be creative in planning, executing and driving team engagement activities.
- Good organising skills, ability to do Calendar Management.
- Closer to office space as the role needs to be in office 4 days minimum.

Communication and Coordination:

- Act as a point of contact for internal and external stakeholders.
- Good Social skills to collaborate and influence team members and stakeholders within and outside the organization.

Financial and Budget Support:

- Monitor office budget and expenses, reporting any variances.

Skills and Qualifications:

- Proven experience as an Office Administrator, Office Assistant, or similar role.
- Proficiency in MS Office (MS Excel MS Outlook and MS Powerpoint in particular).
- Excellent organizational and time management skills.
- Strong written and verbal communication abilities.
- Attention to detail and problem-solving skills.

Personal Attributes:

- Ability to prioritize tasks and multi task and a self starter.
- Professional demeanor and interpersonal skills.
- Discretion and confidentiality.
- Adaptability and willingness to learn.
- Proactive and self-motivated.

Working Conditions:

- Typical IT office environment with regular hours (10am - 7pm);
occasional flexibility may be required.
