The Leasing Coordinator drives lease-up on turnover units and new construction inventory across the portfolio, owning the full sales cycle from first contact to signed lease. This role responds to every lead within 24 hours, schedules and conducts tours across all sites, and builds the product knowledge needed to sell each property's features and benefits with confidence, handling objections at every stage to keep prospects moving toward a decision. Beyond the tour, the Leasing Coordinator processes applications against approval criteria, produces legally accurate lease documents, and sets up tenant ledgers correctly from day one. Performance is measured against weekly/monthly targets and KPIs including conversion rate and days on market, making this role a direct driver of occupancy and revenue for the portfolio.
The shift for this role is 10am to 6:30pm Tuesday to Saturday, with Sundays and Mondays off.
Key Responsibilities:
Respond to all incoming leads — web, phone, email, walk-in, and referral — within 24 hours.
Schedule and coordinate property tours via MS Outlook, following the prescribed booking and calendar system.
Maintain in-depth, current knowledge of every property within the portfolio, including floor plans, pricing, availability, amenities, and unit-specific features.
Conduct tours at designated properties in the portfolio, presenting each property's features and benefits in a way that resonates with the prospect's needs.
Identify and overcome objections at every stage of the sales cycle to keep prospects moving toward application and lease signing.
Process rental applications, coordinating all required credit, background, income, and rental history checks.
Review application results against approval criteria and prepare written justification for management sign-off on approvals, conditions, or denials.
Produce Residential Tenancy Agreements and associated lease documents with accuracy, ensuring terms, rates, and dates are correct before execution.
Maintain a quick turnaround schedule for all application to lease processing.
Input all future charges/credits to the tenant ledger at lease setup and edit charges as required.
Collect security deposit and maintain scheduled contact points throughout the leasing cycle.
Execute leases and prepare documents for counter-signature.
Maintain accurate, organized soft filing of all leasing and applicant documentation.
Log and track lead activity, tour outcomes, and pipeline status, using CRM (Entrata).
Work to weekly targets, tracking and reporting KPIs including conversion rates, days on market, lead response time, and appointment-to-lease ratio.
Collaborate with turnover, maintenance, and marketing teams to ensure units are lease-ready, accurately priced, and effectively promoted.
