HR Data Entry Specialist
Job Description
Join one of Canada's leading construction and infrastructure companies as an HR Data Entry Specialist. In this role, you will support the Human Resources team by maintaining accurate employee records and ensuring compliance with document management and retention practices. Working within the HR operations team, you will be responsible for reviewing, organizing, digitizing, and maintaining employee files while ensuring information is accurately uploaded into Workday and other internal systems.
This position is ideal for a detail-oriented professional with strong administrative and data entry experience, preferably within Human Resources. The successful candidate will have a high degree of accuracy, the ability to handle confidential employee information, and experience working with employee records and HR documentation.
Day-to-Day Responsibilities
Review and organize physical employee files within the HR records room Identify active and inactive employee records and ensure files are categorized appropriately Prepare files for secure destruction or transfer to offsite storage in accordance with company retention policies Scan, digitize, and upload employee documentation into Workday and other internal systems Verify employee information and ensure all records are complete, accurate, and up to date Perform high-volume data entry while maintaining a high level of accuracy and confidentiality Support HR administration activities related to employee records management Assist with document audits and identify missing or incomplete employee documentation Collaborate with HR team members to ensure compliance with internal processes and records management standards Maintain confidentiality when handling sensitive employee information
Required Qualifications
2+ years of data entry, records management, administrative, or HR support experience Experience working with employee files, personnel records, or confidential documentation Strong attention to detail and accuracy in a high-volume environment Proficiency with Microsoft Office Suite, particularly Excel and Outlook Experience working within an HRIS system such as Workday, SAP, Oracle, or SuccessFactors is considered an asset Strong organizational and time-management skills Ability to work independently while managing competing priorities Excellent written and verbal communication skills

Previous experience within Human Resources, Employee Services, or HR Operations Knowledge of records retention and document management practices Experience scanning, digitizing, and maintaining electronic employee records Experience supporting large employee populations in a corporate environment
