Job Summary:

The Front Office Assistant serves as the first point of contact for visitors and clients as well as supports day-to-day administrative and clerical tasks to ensure smooth office operations. This role involves managing the front desk operations efficiently, providing excellent customer service, handling administrative tasks, and ensuring smooth communication within the office.

Key Responsibilities:

Greet and welcome guests and clients professionally and warmly.
Answer, screen, and forward incoming phone calls promptly.
Provide general administrative and clerical support, including mailing, scanning, faxing, and copying.
Maintain a clean and organized reception area.
Manage appointment schedules and meeting room bookings.
Handle basic inquiries and provide accurate information in person and via phone/email.
Receive, sort, and distribute daily mail/deliveries.
Maintain visitor logs and issue visitor passes.
· Assist in preparing documents, reports, and correspondence.

Schedule and coordinate meetings, appointments, and travel arrangements.
Monitor and maintain office supplies; place orders when necessary.
Ensure the office environment is clean, organized, and functional.
Requirements:

2–3 years of proven experience as an Office Assistant, Administrative Assistant, or similar role.
Graduate or equivalent; additional certification in office administration is a plus.
Previous experience in an administrative or clerical role is an advantage.
Basic knowledge of office equipment (printers, copiers, scanners).
Proficiency in MS Office (Word, Excel, Outlook).
Strong organizational and time management skills.
Good written and verbal communication skills.
Ability to work independently and as part of a team.
Working Conditions:

Office environment
Regular working hours with occasional overtime
Constant interaction with staff, clients, and visitors
