Job Summary:

We are looking for a dynamic and customer-focused Front Office Executive to be the first point of contact for patients and visitors at our Apollo Clinic in Kadugodi. The ideal candidate will be responsible for managing the front desk, ensuring smooth patient flow, handling administrative tasks, and providing exceptional customer service. You will play a crucial role in creating a welcoming and efficient environment for our patients.

Responsibilities:

Patient Reception and Registration: Warmly greet patients and visitors, manage the patient registration process accurately and efficiently, update patient records, and verify insurance details.
Appointment Management: Schedule, reschedule, and cancel appointments via phone, email, and in-person, ensuring optimal clinic scheduling and minimizing patient wait times.
Telephone Handling: Answer and direct phone calls promptly and professionally, take accurate messages, and provide information about clinic services and procedures.
Record Keeping and Documentation: Maintain organized and up-to-date patient files, handle medical records with confidentiality, and ensure proper documentation as per clinic protocols.
Payment Processing: Collect consultation fees, process payments accurately, generate receipts, and maintain daily cash records.
Insurance Coordination: Assist patients with insurance-related queries, coordinate with insurance providers for pre-authorizations and claims, and maintain relevant documentation.
Patient Queries and Assistance: Address patient inquiries and concerns in a courteous and helpful manner, escalating complex issues to the appropriate personnel.
Clinic Environment Management: Ensure the reception area is clean, organized, and presentable at all times, maintaining a comfortable and welcoming atmosphere.
Liaison and Coordination: Effectively communicate and coordinate with doctors, nurses, and other clinic staff to ensure seamless patient care.
Administrative Support: Perform general administrative tasks such as photocopying, faxing, scanning documents, and managing stationery supplies.
Adherence to Protocols: Follow all clinic policies, procedures, and safety regulations.
Qualifications and Skills:

Bachelor's degree in any discipline.
Proven experience (1-3 years) as a Front Office Executive, Receptionist, or in a customer service role, preferably in a healthcare setting.
Excellent communication skills (both verbal and written) in English, Hindi Kannada. Proficiency in other local languages would be an advantage.
Strong interpersonal and customer service skills with a patient-centric approach.
Proficiency in using computer systems and software, including MS Office Suite (Word, Excel, Outlook) and Electronic Medical Records (EMR) systems.
Excellent organizational and time-management skills with the ability to multitask and prioritize tasks effectively.
Attention to detail and accuracy in handling patient information and financial transactions.
Ability to remain calm and professional in a fast-paced environment.
Strong problem-solving skills and the ability to handle patient concerns with empathy.
Knowledge of basic medical terminology and healthcare procedures is desirable.
