The Executive Assistant will play a key enabling role in ensuring smooth coordination across teams, supporting the senior management with strategic and operational responsibilities. This role demands high ownership, attention to detail, cross-functional collaboration, and the ability to manage multiple deliverables in a fast-paced, stakeholder-heavy environment.
Key Responsibilities:
1. Team Coordination Task Management
· Follow up with internal teams on deliverables and KRAs.
· Track progress, maintain checklists, and ensure accountability on assigned tasks.
· Handle MIS updates and support task tracking systems.
· Support the overall operations and ensure timely closure of action points.
2. Calendar, Meetings Travel Management
· Schedule and coordinate meetings, internal reviews, and external stakeholder calls.
· Manage travel itineraries, logistics, and accommodations.
· Prepare and circulate minutes of meetings and follow-up on pending actions.
3. Event Project Execution
· Assist in coordinating and executing IAMAI events, roundtables, and conferences.
· Coordinate across internal teams and vendors for smooth event delivery.
· Support in post-event documentation such as press releases and reporting.
· Maintain and manage event databases and logistics trackers.
4. Strategic Projects Research
· Assist in ongoing research initiatives and policy-linked projects.
· Liaise with knowledge partners, members, and stakeholders for required inputs.
· Contribute to drafting internal notes, reports, and communication material as needed.
5. Stakeholder Communication Support
· Be the first point of coordination for external vendors, member organizations, and partners.
· Maintain confidentiality in scheduling and communications.
· Draft professional communications and follow up for updates as required.
· Ensure smooth coordination communication with Internal external Stakeholders.
6. Operational Excellence Admin Coordination
· Provide administrative support to the reporting manager and department.
· Manage expense reports, documentation, and internal filing systems.
· Ensure compliance with internal processes related to procurement, budgeting, and reimbursements.
7. Flexibility Ownership
· Be open to extended working hours during critical project timelines or events.
· Display initiative, responsibility, and commitment to team goals.
Required Skills and Competencies:
· Strong organizational and multitasking abilities
· Excellent communication skills – verbal and written
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
· Ability to work with cross-functional teams and external stakeholders
· High level of professionalism and discretion
· Exposure to Fintech, research projects, wealth management, insurance is a plus
Qualifications:
· Graduate/Postgraduate in B. Com/ M.com, Communications, Public Policy, or related fields
· Minimum 3 years of relevant experience, preferably in a fast-paced or stakeholder-heavy organization (associations, consulting firms, research agencies, or corporates)
