Role Purpose
The Executive Assistant (EA) will support two leaders and provides high-level administrative and strategic support to senior executives, enabling them to operate effectively and efficiently. This role requires strong organisational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
Executive Support: Manage complex calendars, coordinate meetings, and handle travel arrangements for the executive team.

Stakeholder Management: Liaise with internal and external stakeholders, including senior leadership, board members, and key business partners.

Meeting Coordination: Prepare agendas, take minutes, and ensure follow-ups on key actions from leadership meetings.

Document Management: Draft, edit, and review reports, presentations, and communications on behalf of executives.

Confidentiality Discretion: Handle sensitive information with the utmost confidentiality and professionalism.

Operational Efficiency: Identify opportunities for process improvements and assist in strategic initiatives to enhance executive productivity.

Project Support: Assist in the planning and execution of business projects, providing administrative and coordination support.

Expense Budget Management: Track expenses, process invoices, and manage budgets related to executive activities.

Office Event Coordination: Organise corporate events, team offsites, and internal functions as required.

Key Competencies Skills
Strong organisational and time management skills with the ability to prioritise tasks.

Excellent verbal and written communication skills.

High level of professionalism and discretion in handling confidential information.

Ability to anticipate needs and proactively provide solutions.

Strong attention to detail and problem-solving abilities.

Ability to build relationships and work effectively with diverse teams.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with digital collaboration tools.

Flexibility and adaptability in a dynamic, fast-paced environment.

Qualifications Experience
Minimum of 5 years of experience as an Executive Assistant or in a similar high-level administrative role.

Experience supporting senior executives in a corporate environment, preferably within transport, logistics, or a related industry.

Demonstrated ability to manage multiple priorities and deadlines.

Experience in event coordination and stakeholder management is desirable.
