You’ll partner with Kim, Chris and Gamu to keep everything on track—from coordinating multi‑site meetings to driving between clinics for on‑the‑ground support. This role demands exceptional planning skills, clear communication and the flexibility to travel across Melbourne’s north‑east corridor.
Key Responsibilities
Diary Logistics Management
Maintain complex calendars for executives
Organise site visits and travel between clinics (vehicle provided or mileage reimbursement)
Cross‑Site Coordination
Liaise with clinic managers to schedule audits, training sessions and project roll‑outs
Track progress on operational initiatives and flag any delays
Communication Documentation
Draft and proofread reports, meeting briefs, emails and presentations
Prepare minutes and action‑item follow‑ups for state‑wide meetings
Event Project Support
Coordinate state‑level workshops, town halls and training events
Assist with roll‑out of new technology
Administrative Ad‑hoc Tasks
Manage filing systems (digital paper) and update standard operating procedures
Pull data for budget reviews, vendor quotes or strategic analyses
Personal Assistance
Coordinate personal appointments and family calendars for executives (e.g. medical, household)
Book travel and accommodation for personal or family trips
Handle household‑related tasks such as arranging repairs, paying bills or ordering gifts
Assist with personal event planning (e.g. birthdays, anniversaries, team celebrations)
Qualifications Experience
2 years’ experience supporting senior executives or an operations team
Proven ability to manage competing priorities with impeccable attention to detail
Advanced skills in Microsoft Office (Word, Excel, PowerPoint, Outlook)
Excellent written and verbal communication
Demonstrated discretion handling confidential information
