Desired Candidate Profile:
• Should be well-organized, have great time management skills, and be able to act without guidance.
• Managing information flow in a timely and accurate manner
• Maintain and develop systems, procedures, and records in line with the organization's policies and objectives
• Ensure necessary records are maintained that can readily provide current, accurate, and accessible information
• Support the day-to-day work of the Director in the preparation and presentation of reports, proposals, budgets, and related activities in servicing and developing contracts and relationships with stakeholders and partners
• Schedule and coordinate meetings, interviews, appointments, events of the Director, and its regular follow-up.
• Prepare a dynamic work calendar for the Director on daily, weekly, monthly, quarterly and annual basis and keep on updating it in accordance with ever-emerging priorities. Embed the elements of unpredictability and flexibility in it at the same time, keep it confined and be very selective about making entries in the same so as to ensure that the Director is able to focus his time and energy only on the most important priorities;
• Arranging internal staff and external client meetings taking into account his occupancy and availability and prioritizing them accordingly.
• To prepare the synopsis for all internal/external meetings i.e. researching about organization/individuals/subject matter etc.
• To ensure that all his meetings/appointments/events are well organized and be conducted smoothly without any interruptions or hassles or any other state of mismanagement
• Excellent verbal and written communications skills
• Proficient in Microsoft Office suite
