Role responsibilities

Provide high-level administrative support to the Director/MD, including managing complex calendars, scheduling appointments, and coordinating meetings.
Prepare professional correspondence, reports, presentations, and other documents with strong attention to detail.
Act as a primary point of contact, screening and directing phone calls, emails, and other inquiries, handling them appropriately and efficiently.
Prepare detailed agendas, take accurate and comprehensive minutes of meetings, and ensure timely follow-up on action items.
Manage travel arrangements and prepare detailed expense reports.
Proactively monitor deadlines and follow up with relevant departments to ensure the timely completion of critical tasks.
Handle confidential information with the utmost discretion and professionalism.
Undertake ad-hoc projects and tasks as assigned by the direct manager and senior management.
Assist department heads with administrative tasks and provide support as required.
Establish and maintain highly organized electronic and paper filing systems, ensuring efficient indexing and filing according to legal requirements and departmental needs.
Manage office supplies, anticipating needs, overseeing procurement, and maintaining optimal stock levels.
Coordinate the preparation and distribution of newsletters, reports, and other internal/external communications.
Arrange for courier services and postal mail efficiently.
Maintain the company calendar and proactively schedule appointments, coordinating with internal and external stakeholders.
Oversee the upkeep of office administrative facilities, coordinating with vendors for maintenance, repairs, and ensuring a conducive work environment.
Assist with vendor management and procurement of office equipment and supplies.
Independently perform and manage day-to-day administrative and operational activities of the company as directed by the direct manager and the management.
Proactively ensure the availability of daily miscellaneous requirements to foster a harmonious and productive work culture for employees.
Perform a variety of clerical and administrative duties with minimal supervision, including answering phones, making appointments, and ordering office supplies.
Prepare accurate and timely real estate forms, documents, and correspondence.
Utilize strong letter-writing skills in English for effective communication with corporates, government agencies, and bodies.
Efficiently complete paperwork for all real estate transactions to ensure swift deal closures, including meticulous post-sales documentation for clients.
Possess a strong understanding of the Land Reform Department and its compliance procedures, including mutation and conversion processes.
Diligently monitor legal and regulatory deadlines and proactively provide notices to appropriate parties.
Produce basic marketing materials, including brochures, flyers, online content posts to support the company's branding efforts.
Compile and distribute accurate weekly/monthly reports, communicating key results to the team to ensure company goals are being met.
Demonstrate strong follow-up skills to ensure timely responses and effective resolution of issues.
Proactively undertake necessary visits to clients or other locations for important meetings or assigned tasks, ensuring timely and successful completion.
Preferred candidate profile

The candidate must possess at least a Diploma/Advanced/Higher/Graduate Diploma in Business Studies/Administration/Management or equivalent.
Excellent written and verbal communication skills in English are mandatory.
Excellent computer skills with sound knowledge in MS Office Suite (Word, Excel, PowerPoint, Outlook) and advanced proficiency in Excel and Google Sheets.
Must be highly familiar with Google Suite (Google Drive, Gmail, Google Calendar, etc.).
Experience in the Real Estate Industry is preferred but not mandatory.
Minimum 3-7 years of proven experience in an EA Profile with increasing responsibilities.
Age Group: 23 to 32 years.
Candidates currently residing within a commute of 45 minutes to 1 hour are highly preferred.
Proven ability to work effectively both independently and as a collaborative team member.
Must demonstrate initiative, possess a strong drive, and work well under pressure to meet fast-changing requirements and expectations.
Analytical and data-driven approach with meticulous attention to detail.
Ability to perform a variety of clerical and administrative duties with minimal supervision, including answering phones, making appointments, and ordering office supplies.
