Full job description
We are looking for self driven professional with an experience to take care of Executive Assistant's work. She is expected to work closely with senior managerial or directorial staff by performing routine secretarial administrative functions. The role majorly involve Administrative and Calendar Management, Travel and Expense Management, Meeting and Event Coordinations, Communication and Stakeholder Relations, Project, CSR and Initiative Support.

Handling Correspondences Arranging Meetings, Answering calls and liaising with clients competently.

Preparing correspondence on the boss's behalf, managing electronic diary or calendar.

Attending meetings on boss's behalf, preparing papers for meetings presentations for the said task as per their due dates. Taking action points and writing minutes taking dictation.

Make sure the utility and credit card payments are done well in advance before the due dates, Checking emails taking appropriate action with the Director's prior approval.

Review of all pending tasks for the day all other pending work. Follow up from the concerned Managers /or concerned person for given pending tasks as per schedule.

Sorting , arranging the documents and files from time to time to ensure proper documentation. Timely reporting of the status of work alloted and record the same in daily time sheet. Maintaining all Personal Record (Bank related) Arranging and updation of all personal records (viz. investments, Insurance, Dividend Bank Statements, loans etc) of the Director and coordinate with Accounts with their requirement for Tax compliances.

Travel Desk - Managing Travel arrangements as and when required and maintaining proper expense records on regular basis in soft hard copy submit to accounts. Hotel Tie Ups-If required, coordinate with the Hotel Sales Team and finalise the bookings after approval. Tracking-Timely payments of all utility bills like mobile telephone electricity bills, PMA taxes. (Residence as well as office).Weekly Back up-Of I-Pad, Blackberry with PC I-Mac synchronization of all the contacts.

Coordinate with Admin and HR team to make sure the implementation of the rules and processes. To initiate CSR activities and provide all required coordination and support.
