The Assets and Environment directorate is a broad portfolio, including sustainability and waste minimisation, Council-managed enterprises, infrastructure and open space. The directorate manages the maintenance, and administration of Council-owned infrastructure such as buildings, property, roads and drainage alongside environmental services like waste management and sustainability initiatives. This directorate ensures Council prudently and sustainably manages its asset base—valued in the billions—to support community services and infrastructure needs now and into the future.
In this pivotal role, you’ll be the key link between the General Manager and a wide range of internal and external stakeholders, ensuring smooth communication, coordination, and follow-through. You’ll manage calendars and meetings, prepare reports and briefing notes, draft correspondence, undertake special projects and provide essential support to ensure deadlines and priorities are met.
You’ll take the lead in coordinating directorate meetings, tracking actions, and ensuring the timely delivery of reports for Council and Executive Leadership Team meetings. As a member of the Executive Support Team you will also play an active role in streamlining processes, supporting business unit administration, and collaborating with other Executive Assistants to drive continuous improvement across Council.
The key responsibilities include:
Provide high-level executive and administrative support to the General Manager Assets and Environment, including managing priorities, correspondence, enquiries and confidential matters.
Coordinate the General Manager’s calendar, meetings, commitments, task systems and follow-up actions to support the smooth operation of the Directorate.
Prepare, review and quality assure reports, briefing notes, agendas, minutes, correspondence and other executive documents.
Liaise with internal and external stakeholders, triage requests, monitor outcomes and escalate matters where needed.
Undertake research or special projects as directed.
Support Directorate operations and projects by coordinating administrative processes, records, procurement, meetings and continuous improvement initiatives.
To be successful in the role, you will have:
Experience providing senior administrative or executive support in a busy environment with competing priorities.
Strong written communication skills, including preparing agendas, minutes, reports and high-level correspondence.
Ability to build effective working relationships with internal and external stakeholders.
Sound judgement, discretion and confidentiality when handling sensitive matters or working with limited direction.
Relevant qualification and substantial experience in a senior executive assistant or administrative role.
If successful, you will need to undertake a police check and you must also be legally entitled to work in Australia.
