About the Role

The Administration Officer for the rental team is responsible to increase the level of support to our customers and sales teams by providing solutions through Short- Long-Term Rental products that Toyota Material Handling Australia (TMHA) handle. They must handle requests, either internally or externally accurately and efficiently so as to provide the highest level of customer satisfaction.

Key Responsibilities:

Provide vital administrative support to the rental team, ensuring efficient day-to-day operations
Process rental agreements, off-hires, and customer documentation with precision and speed
Maintain accurate records in TMHA systems, ensuring compliance and data integrity
Liaise confidently with internal departments, suppliers, and customers to support rental workflows
Assist with scheduling, reporting, invoicing, and documentation tracking for rental equipment
Uphold TMHA's commitment to customer excellence through timely and professional service
What We’re Looking For:
Proven administration experience in a fast-paced, team-oriented environment
Strong attention to detail and the ability to prioritise competing tasks with accuracy
Confident communication and interpersonal skills – both written and verbal
High level of computer literacy, including MS Office and ERP/CRM systems
Previous exposure to rental, logistics, automotive or heavy equipment industries (advantageous)
A proactive, solutions-focused mindset and willingness to learn
