Primary objective
Provide day-to-day management, supervision, and high-level support in the areas of procurement, school-wide administration, information
and communication technology, infrastructure and human resource management in a busy and complex school environment.
Context statement
Gunbalanya is an Aboriginal Community approximately 300km east of Darwin City, in remote West Arnhem Land. The student cohort
ranges from birth, preschool, primary to secondary. The Administration Manager plays a key role in the effective coordination of school
operations, providing comprehensive professional support to Principal and the School Board.
Key duties and responsibilities
1. Manage the procurement, receipt and distribution of goods and services to support school operations, including coordinating annual
wet season supply orders, weekly freight and mail services, inventory control, stationary supplies, and other operations resources.
2. Manage school asset and resource systems including asset registers, inventory control, filling, and maintenance of accurate records to
ensure compliance with Departmental policies and procedures.
3. Support workplace health, safety, and wellbeing initiatives through administration of WHS checklists, first aid supplies and records,
hygienist coordination, contractor compliance, and maintenance of the Ochre Card register.
4. Oversee school facilities across four campuses, infrastructure, and grounds maintenance, including supervising contractors,
maintenance monitoring processes and ensuring daily security and lock up procedures are completed.
5. Provide administrative support services including accurate records management and operational documentation, filing systems, SAMS
administration and maintenance, and vehicle logs and maintenance processes.
6. Assist the Principal with workforce management activities, including teacher recruitment, staff onboarding and preparation of
equipment and systems for new staff, and support professional growth of non-teaching teaching local staff.
7. Liaise effectively with the School Operations Manager, Principal, staff, contractors, service providers, government agencies, and
community stakeholders to ensure the efficient delivery of operational, administrative and support services across the school,
providing timely advice on operational matters requiring attention.
Selection criteria
Essential
1. Demonstrated experience in administration, procurement, facility and asset management, and operational support working across a
complex organisation.
2. Proven ability to manage multiple priorities, coordinate logistics and maintain accurate records and use various office applications and
systems.
3. Sound knowledge of workplace health and safety practices, contractor management and compliance requirements, and maintaining
professional integrity and confidentiality.
4. Well-developed communication and interpersonal skills, with the ability to build effective working relationships with a diverse range
of stakeholders in bilingual and cross-cultural contexts.
5. Demonstrated initiative, resilience, problem solving ability and organisational skills in a changeable multi-campus environment, with a
commitment to delivering high quality operational and administrative support.
6. Demonstrated ability to cultivate a collegial office environment and build capacity of team members.
Desirable
1. Experience working in a school, government or remote community environment and proficiency in relative administrative, finance and
information management systems.
