We are looking for a highly organized, proactive, and detail-oriented Operations & Client Experience Coordinator to help manage listings, support marketing efforts, improve systems, and elevate the overall client experience.
This is more than an administrative position—we are seeking someone who enjoys building systems, solving problems, and helping a growing business operate at a high level.
Position Overview
The Operations & Client Experience Coordinator will play a key role in supporting day-to-day operations, coordinating listings, maintaining our CRM, assisting with marketing initiatives, and ensuring clients receive a first-class experience throughout the transaction process.
This role is ideal for someone who thrives in a fast-paced environment and takes pride in keeping things organized and moving forward.
ResponsibilitiesListing Coordination
Coordinate photography, drone, video, and marketing appointments
Prepare and manage MLS listing input
Schedule lockbox and sign installation
Coordinate vendors including photographers, cleaners, stagers, and contractors
Ensure listings launch accurately and on time
Assist with showing coordination and feedback collection
Client Experience
Communicate with sellers throughout the listing process
Provide weekly listing updates and showing feedback
Help create a smooth and professional experience from listing to closing
Assist with client appreciation and retention programs
CRM & Database Management
Maintain and organize Lofty CRM
Update contact records, tags, and notes
Assist with follow-up campaigns and database organization
Help manage past client communication and nurture systems
Marketing Support
Coordinate social media content and listing promotions
Assist with email marketing campaigns
Help create marketing materials and listing launch checklists
Coordinate open house marketing and event preparation
Operations Support
Create and improve systems, workflows, and checklists
Track important deadlines and listing milestones
Assist with reporting and business organization
Support the overall growth and efficiency of the company
QualificationsPreferred Qualifications
Real estate industry experience preferred
MLS experience preferred
CRM experience (Lofty is a plus)
Strong organizational and communication skills
Ability to manage multiple projects simultaneously
High attention to detail
Proficiency with Google Workspace, Microsoft Office, and Canva
Bonus Skills
