We are seeking a highly organized, proactive, and trustworthy Personal Assistant / Office Administrator to support the owner of a growing business. This is an in-office position requiring someone who enjoys wearing multiple hats, managing day-to-day administrative responsibilities, and helping keep business operations running smoothly.

ResponsibilitiesExecutive & Personal Assistance
Manage calendars, appointments, and scheduling
Coordinate meetings and prepare meeting materials
Screen and prioritize emails and phone calls
Arrange travel, accommodations, and itineraries as required
Prepare correspondence, reports, presentations, and documents
Conduct research and gather information for business initiatives
Handle confidential information with professionalism
Assist with personal errands and special projects when needed
Office Administration
Maintain an organized office environment
Order office supplies and manage inventory
Organize digital and physical filing systems
Coordinate incoming and outgoing mail and courier services
Prepare invoices, expense reports, and basic bookkeeping support
Assist with document preparation and record keeping
Support onboarding paperwork and general HR administration
Coordinate vendors, service providers, and office maintenance
Business Support
Assist with project coordination and follow-up
Maintain CRM and company databases
Help organize company events and meetings
Track action items and ensure deadlines are met
Support marketing, social media, or customer communications as needed
Provide general administrative support across multiple business initiatives
Qualifications
Bilingual French/English
2+ years of experience in an administrative, executive assistant, or office administration role
Excellent organizational and time management skills
Strong verbal and written communication skills in English
French language skills are considered a strong asset
High level of professionalism and discretion
Exceptional attention to detail
Ability to multitask and prioritize changing responsibilities
Self-motivated with excellent problem-solving abilities
Technical Skills
Experience with:
Microsoft Office (Word, Excel, Outlook, PowerPoint)
Google Workspace
Calendar management tools
Zoom and Microsoft Teams
Basic bookkeeping software (QuickBooks or similar is an asset)
Canva and social media platforms (asset)
