Job Summary
The Office Clerk is a key administrative support role responsible for a variety of clerical and accounting tasks to ensure the smooth and efficient operation of the office. This individual will handle critical financial functions, including accounts payable and accounts receivable, and will play a central role in maintaining accurate financial records and supporting the overall accounting process.

Responsibilities

Accounts Payable:

Process and verify invoices and other transaction documents.
Prepare and code payments to vendors and suppliers in a timely manner.
Reconcile vendor statements and resolve any discrepancies.
Accounts Receivable:

Generate and send invoices to clients and customers.
Record and process incoming payments.
Follow up on overdue accounts and communicate with clients regarding payment status.
Financial Monitoring Reporting:

Monitor and manage the aging of accounts receivable to ensure timely collections.
Prepare and distribute monthly or periodic account statements to customers.
Assist with month-end closing procedures related to accounts payable and accounts receivable.
General Office Support:

Perform general administrative duties such as filing, data entry, and document management.
Maintain and update client and vendor information in the corporate system.
Assist with other clerical tasks as assigned to support the office and accounting teams.
Qualifications and Skills

Education: High school diploma or equivalent required. An associate degree or some college coursework in accounting, finance, or a related field is a plus.
Experience: Proven experience in an office or administrative role, with specific experience in accounts payable and accounts receivable highly preferred.
Technical Skills:
o Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

o Experience with accounting software is a significant advantage.

o Accurate and fast data entry skills.

Soft Skills:
o Strong attention to detail and a high level of accuracy.

o Excellent organizational and time management abilities.

o Effective communication skills, both written and verbal.

o Ability to work independently and as part of a team.

o Problem-solving skills and a proactive approach to work.
