Job Summary
True Physio + Pilates is looking for a warm, professional, personable and reliable part-time receptionist to join our Tsawwassen clinic.
Our front desk team plays an important role in creating an exceptional experience for every patient and supporting our team of skilled practitioners. As the first point of contact for our patients, we are looking for someone who genuinely enjoys working with people and takes pride in making patients feel welcome, heard and cared for.
The ideal candidate is compassionate, organized and dependable, with excellent communication and problem-solving skills. They are able to be compassionate and empathetic when dealing with patients, take initiative, work independently, and contribute positively to a collaborative team environment.
Responsibilities
Welcome patients and create a warm, friendly and professional first impression
Provide exceptional customer service and build genuine rapport with patients
Answer and manage phone calls, texts and emails
Schedule, reschedule and confirm patient appointments
Manage and update patient information
Process payments and assist with billing and insurance-related matters
Liaise with third-party insurers and other external stakeholders
Fax documents and manage general clinic correspondence
Communicate and coordinate effectively with our team of physiotherapists, RMTs, kinesiologists and Pilates professionals
Provide administrative and scheduling support to our practitioners
Respond to patient questions, concerns and requests with empathy and professionalism
Problem-solve patient and scheduling issues and find appropriate solutions
Maintain an organized, professional and welcoming reception area
Assist with general clinic organization and administrative duties as required
Work independently and take initiative to help the clinic run smoothly
Maintain patient confidentiality and professionalism at all times

Previous customer service or receptionist experience is an asset
Previous experience in a physiotherapy, medical or healthcare setting is an asset
Familiarity with Jane App is an asset
Experience working with third-party insurers is an asset
The right personality is extremely important to us. While previous healthcare or reception experience is an asset, we are willing to train the right person who demonstrates excellent customer service, compassion, reliability, professionalism and a willingness to learn.
Schedule
Part-time, approximately 20–25 hours per week
