About the role:
The primary role of the Facilities Administrator is to support the Facilities Management team in providing administrative support in the use of CBRE HS, FM processes, software and online platforms within the client's working environment.

Here’s a snapshot of your day:
Supporting CBRE client's vendors in visitor management systems, FM processes and compliance across a national portfolio of properties, keeping systems, data and documentation up to date
Ensuring all reactive maintenance Work Orders are attended to, closed and invoiced in a timely manner
Auditing vendors and contractors against HSE requirements including Job Safety Assessments / Safe Work Method Statements and Permit to Work requirements.
Supporting the CBRE HS Permit to work Process and ensuring vendors meet the requirements
Supporting the Facilities Management team in ensuring the planned maintenance schedules are accurate and maintained up to date
Working with the CBRE vendors to ensure the work orders issued to vendors match the schedules. Identifying gaps and closing them
Provides support to the FM Team in managing and administering site inspections.
Works with the wider CBRE overseas support teams and CBRE building management to enhance and simplify processes and achieve positive outcomes
Ensuring compliance tasks are completed on time by vendors for building compliance and ensuring the quality of all related compliance data (e.g fire equipment)
Ensuring invoices submitted by vendors for work are accurate and meet the CBRE/client's requirements for payment
Understand and support financial processes within client's systems where required
Supporting the CBRE monthly reporting processes and meetings with clients
Supporting other CBRE objectives or initiatives as required

Required Knowledge Skills:
Excellent customer service ethos
Excellent written and oral communication skills
Ability to work with initiative and enthusiasm – autonomously or in a team
Good interpersonal skills and professional attitude
Attention to detail and ability to remain task focused
Flexible approach to work with the ability to adapt to a changing environment, deal with uncertainty, solve problems, and adjust to changes
Logical and analytical thought processes and good problem-solving skills.
Minimum intermediate knowledge in core Microsoft packages – Word, Excel, PowerPoint and Outlook
Working knowledge of the 2015 HS Act
Good analytical skills

Experience/Qualifications:
Previous experience of Facilities management systems, asset management systems and processes is preferred but not essential.
Previous experience of managing HS processes and knowledge in the practical application of HS or contractor management is preferred
Previous exposure in providing premium client service would be an advantage.
Ability to resolve issues quickly and autonomously
Demonstrates organizational abilities by effectively handling multiple tasks, meeting deadlines, and setting priorities
Ability to work with minimal supervision
Ability to communicate at all levels and build effective and professional relationships
