We are seeking an Executive Operations & Creative Coordinator to support the CEO and COO across all Trilliant divisions. This is a hybrid role combining operations, scheduling, communications, project coordination, and light creative work. You will be the connective force that keeps multi-brand operations running smoothly.

Role Overview

The Executive Operations & Creative Coordinator is responsible for managing executive workflows, assisting with day-to-day operations across multiple businesses, coordinating marketing assets, and ensuring premium support for leadership. You will help orchestrate tasks ranging from procurement and scheduling to social media coordination, vendor management, research, and internal communication.

This role requires taste, professionalism, and a naturally organized mindset — someone who can handle both detail-oriented administrative tasks and polished creative coordination.

Key Responsibilities

1. Executive Support

Manage calendars, appointments, meetings, and travel for CEO & COO.
Prepare briefs, notes, agendas, and follow-up action lists.
Handle email drafting, communication summaries, and inbox organization.
Maintain strict confidentiality, professionalism, and executive-level communication standards.
2. Operational & Administrative Coordination

Procure branded items and operational essentials (e.g., custom water bottles, hospitality supplies, marketing materials).
Prepare light bookkeeping documents, expense tracking, and vendor payments.
Organize digital files, project boards, SOPs, and internal documentation.
Coordinate logistics across hospitality, real estate marketing campaigns, and energy project tasks.
Oversee vendor and supplier communication across industries.
3. Marketing & Creative Support

(This is not a heavy design role — but requires taste, aesthetic sense, and coordination.)

Assist with social media scheduling and basic content posting for multiple Trilliant brands.
Create simple, clean graphics/templates in Canva or similar tools.
Coordinate with designers, content creators, photographers, and marketing teams.
Assist in preparing presentations, investor decks, pitch materials, and brand documents.
Ensure all assets reflect the premium Trilliant aesthetic.
4. Cross-Company Project Coordination

Support planning of events, launches, property showcases, and hospitality activations.
Assist in coordinating real estate media shoots, hospitality brand photo/video needs, and marketing campaigns.
Conduct research: vendors, pricing, suppliers, partnerships, industry trends.
Ensure multi-company projects move forward on time with weekly status updates.
5. Client, Partner & Vendor Communication

Act as a liaison between executives and partners across all Trilliant sectors.
Handle scheduling, confirmations, and light client communications.
Follow up on outstanding tasks, vendor deliveries, or incoming inquiries.

Highly organized and able to manage multiple industries at once.
Tasteful, polished, and aligned with luxury/hospitality/lifestyle brands.
Skilled at managing both administrative and creative tasks.
Proactive, resourceful, and solutions-focused — you anticipate needs before asked.
Comfortable working with executives and managing confidential information.
Able to work independently and keep pace in a fast-moving environment.
Qualifications

2–3 years in administrative coordination, executive assistant, project coordination, or operations.
Strong communicator with excellent writing skills.
Comfortable with Google Workspace, project management tools, and basic design tools (Canva, etc.).
Familiarity with social media platforms and branding fundamentals.
Experience in hospitality, real estate, marketing, or tech/energy is a strong asset.
Compensation (Suggested)

Salary Range: $60,000–$85,000 (depending on experience)
Benefits package after probation
Opportunity to grow across multiple companies within the group
Hybrid schedule (some in-office time required)

Pay: $60,000.00-$85,000.00 per year

Work Location: Hybrid remote in Squamish, BC
