Role description:

To provide admin support to ESI Admin team and part of PA Admin team in GEC

Key Accountabilities:

Professional administrative services to include:
• Coordinate between Team and Lead region
• Draft PowerPoint presentation as required
• Attend required calls and note minutes
• Travel bookings – Hotel, flights, car hire, trains
• Occasional entering of expenses
• Meeting room bookings
• Analyse data from Power BI
• Venue bookings
• Book external training courses
• Ordering business cards and company merchandise
• Raising Purchase Orders for project related costs
• Production and formatting of documentation / reports / bids / Newsletters / internal documents
• Respond to and resolve enquiries and problems, judging when to pass complex queries on to or involve others
• Liaise with and build strong working relationships with colleagues across the wider business
• Support and pass on information with regards to brand / guidelines and creation of collateral
• Adhoc Tasks as and when assigned
• Access systems to process data and produce reports
• Respond to and resolve all types of enquiries and problems, judging when to pass complex queries on to or involve others
• Provide feedback and recommendations for improvement of processes and systems

Knowledge Qualification:
• Highly proficient in all Microsoft programs including MS Word, PowerPoint, Excel, Outlook and Adobe Acrobat
• Excellent business English both written and oral
• Knowledge of SharePoint, Microsoft Teams, Visio, InDesign, Basics of PowerBI, Microsoft Sway, would be an added advantage
• Ability to handle multiple confidential/private information
• In depth experience working in an administrative support role
• Professional and proactive approach
• Graduation degree
• Vocational qualification by experience is acceptable.
