Job description
• Manage the Vice President's calendar, appointments, meetings, and travel schedules.
• Coordinate with Project Heads, Department Heads, Consultants, Contractors, and Vendors.
• Prepare MOM (Minutes of Meeting) and ensure timely follow-up on action points.
• Track project progress, pending issues, and report status updates to the VP.
• Prepare daily, weekly, and monthly MIS reports, dashboards, and presentations.
• Coordinate with Sales, CRM, Projects, Finance, Legal, Procurement, MEP, Billing, and Liaison teams.
• Maintain confidential documents, reports, agreements, and correspondence.
• Screen emails, prioritize communications, and draft professional letters and presentations.
• Monitor timelines of ongoing projects and escalate delays to the VP.
• Organize review meetings and circulate agendas and meeting notes.
• Assist in preparing budgets, business plans, and management presentations.
• Coordinate with external consultants, architects, government authorities, and statutory agencies whenever required.
• Maintain records of approvals, project documentation, and important correspondence.
• Ensure timely follow-up on approvals, compliance matters, and inter-departmental coordination.
• Support the VP in strategic planning and execution of key business initiatives.
• Perform any other assignments delegated by the Vice President.
