Role: Community Outreach and Project Assistant Role

Organization: Volunteer Calgary

Employment Type: Full-time (35 hours) for June, July and August and 15 hours/week from September to December.

Compensation: $22/hour

Contract Duration: June 1 – December 15, 2026

Reports To: Director of Programs and Strategy

Role Overview

The Outreach & Project Coordinator supports Volunteer Calgary’s mission by strengthening relationships with member organizations while also supporting the implementation of a key pilot initiative in partnership with Capacity Canada, the Women’s Not-for-Profit Mentorship Network and the Belonging and Culture Change Framework.

This role plays a central part in delivering a high-quality member experience through responsive support, onboarding, and practical guidance—particularly helping organizations effectively access, understand, and use Volunteer Calgary’s programs and services. This work is especially important as organizations increasingly struggle to engage volunteers. While many individuals are eager to contribute, organizations need targeted support to connect with them effectively and create meaningful, inclusive opportunities.

The role provides logistical, operational, and communications support to ensure the successful delivery of the pilot programs that advance equity and leadership in the nonprofit sector.

Through outreach and project coordination, this role helps build confidence across the sector while contributing to Volunteer Calgary’s regional and national impact.

Primary Duties and Responsibilities

Member Support & Digital Platform Engagement
• Provide responsive, practical support to members and partners to help them access, navigate, and effectively use Volunteer Calgary’s digital platform and tools
• Support onboarding by guiding new members through platform features, workflows, and volunteer engagement best practices
• Respond to inquiries with a strong customer-service orientation
• Identify recurring challenges and share insights internally to support platform and service improvements
• Assist in developing and updating user resources (guides, FAQs, tutorials) to improve accessibility and usability

Outreach, Engagement & Relationships
• Support outreach initiatives to build awareness of Volunteer Calgary’s programs and services
• Assist in recruitment and engagement of participants for pilot programs, including nonprofit women leaders from underrepresented communities
• Build and maintain relationships with community organizations and regional partners
• Support targeted outreach campaigns and stakeholder engagement efforts
• Foster inclusive, welcoming member and participant communities

Project & Program Implementation
• Support implementation of the Women’s Not-for-Profit Mentorship Network and Belonging and Culture Change Framework pilots
• Assist in managing and maintaining digital platforms used for mentorship and program delivery
• Provide technical and logistical support for program participants
• Coordinate workshops, meetings, and events, including speaker and facilitator support
• Collaborate with internal teams to ensure smooth project delivery

Communications & Advocacy
• Support outreach and awareness efforts to promote programs and services
• Contribute to storytelling by gathering member and participant experiences
• Documentation, Reporting & Evaluation
• Assist in collecting, tracking, and analyzing program and member data
• Gather feedback through surveys and check-ins and share insights with the team
• Maintain organized project files, records, and documentation

Systems & Internal Collaboration
• Collaborate across teams to ensure coordinated member and participant support
• Help identify opportunities to improve systems, processes, and overall user experience

Experience, Skills & Qualifications

Education
• Bachelor’s degree in a relevant field (completed or in progress)

Skills
• Strong communication and interpersonal skills
• Strong organizational and coordination abilities
• Research, analytical, and problem-solving skills
• Comfortable working with digital platforms and learning new tools
