Quantum Systems Management is seeking a dedicated and detail-oriented Backoffice Executive to join our Human Resources department. This full-time, permanent position offers an excellent opportunity for individuals with 0-2 years of experience to contribute to various HR and administrative functions. The ideal candidate will play a crucial role in supporting the smooth operation of our back-office activities.
Key Responsibilities
Manage recruitment and selection processes, including talent acquisition, job description creation, and interview scheduling.
Oversee onboarding and induction procedures, including employment contracts, background checks, and new employee orientation.
Handle attendance and leave management, ensuring accurate tracking and reporting within the HRMIS.
Process payroll, including tracking vacation and sick time, answering payroll questions, and facilitating reconciliations.
Manage general HR operations, including training, policy administration, performance reviews, and employee relations.
Oversee invoicing, payments, and client correspondence, ensuring timely submissions and follow-ups.
Handle general administrative tasks, including office equipment maintenance, record-keeping, and compliance monitoring.
Manage back-office operations, including facility management, travel arrangements, and vendor management.
Perform accounting tasks, including managing transactions, reconciling accounts, and preparing financial statements.
Qualifications / Requirements
Bachelor's degree in any field.
0-2 years of experience in HR or administrative roles.
Strong organizational and time-management skills.
Proficiency in MS Office Suite (Word, Excel, Outlook).
Excellent communication and interpersonal skills.
Ability to handle confidential information with discretion.
