For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. * out of * times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking an Administrative Senior Associate to lead office administration, logistics, procurement, vendor management, and facility operations while ensuring efficient and effective administrative support for program teams.
The Administrative Senior Associate will play a critical role in ensuring the smooth day-to-day functioning of office operations by managing administrative services, procurement, facilities, logistics, and vendor relationships. This role will strengthen operational efficiency by implementing effective systems, maintaining organizational assets, and supporting program teams through high-quality administrative coordination.
The role is based in Jaipur, Rajasthan.
Responsibilities:
Office Administration & Operations:
• Oversee day-to-day office administration and ensure uninterrupted administrative support.
• Maintain a safe, clean, and efficient workplace environment.
• Coordinate logistics and administrative support for staff and visitors.
Procurement & Vendor Management:
• Manage procurement activities and vendor relationships.
• Identify and onboard reliable vendors while ensuring cost-effective procurement.
• Support contract administration and monitor vendor performance.
Facilities & Asset Management:
• Maintain office facilities, equipment, and infrastructure.
• Monitor office assets, inventory, and procurement records.
• Coordinate maintenance activities and ensure operational readiness.
Planning, Budget & Administrative Support:
• Monitor administrative budgets and resource utilization.
• Coordinate travel and accommodation arrangements for staff as required.
• Develop and improve administrative processes, tools, and tracking mechanisms.
• Support cross-functional teams with administrative requirements.
Qualifications
Education & Experience:
• Bachelor's degree in Business Management or a related field.
• 4 to 5 years of experience in office administration.
• Experience in procurement, vendor management, and facilities administration.
• Familiarity with financial and facilities management principles.
Technical Competencies:
• Strong vendor management, negotiation, and communication skills.
• Experience managing logistics, procurement, and facilities operations.
• Proficiency in Microsoft Office applications.
• Strong organizational skills with excellent attention to detail.
• Ability to manage multiple priorities in a dynamic environment.
• Willingness to travel as required.
