What will I be doing?

The Houston-Galveston Area Council (H-GAC) is seeking an organized and detail-oriented Event Coordinator to plan and manage agency meetings, workshops, and conferences for our Human Resources (HR) and Data Analytics & Research (DAR) departments. This position will ensure the successful planning and execution of events that foster collaboration and knowledge-sharing within the agency and the communities of our region.

ü Plan, coordinate, and execute internal and external events, including workgroup meetings, workshops, conferences, employee events, training sessions, and other agency activities.

ü Manage event calendars, schedules, timelines, and logistics to ensure successful event planning and execution.

ü Prepare meeting agendas, notices, correspondence, presentation materials, and meeting minutes as needed.

ü Develop event programs and agendas; coordinate speakers, exhibitors, sponsors, and other event participants.

ü Collaborate with Communications staff on event promotion, outreach efforts, marketing materials, and stakeholder engagement activities.

ü Coordinate venue arrangements, catering, audiovisual services, and other event-related vendors and resources.

ü Manage attendee registration, participant communications, and customer service support before, during, and after events.

ü Oversee on-site and virtual event operations, including registration, technical support, troubleshooting, and issue resolution.

ü Track event budgets, coordinate vendor payments, and assist with contract administration and post-event reporting.

ü Serve as a liaison between H-GAC, external stakeholders, sponsors, vendors, volunteers, and attendees, while providing administrative support and special project assistance as needed.


Do you have…

ü Degree in an applicable academic discipline or related field of study

ü Less than a year of experience working with local government, nonprofit programs, school, or in job-related duties
