Title: Administrative Executive Department: Administration Reports To: HR Manager Roles and Responsibilities: 1.Office Management: Oversee daily office operations, including maintaining office supplies, equipment, and facilities. Ensure the office environment is clean, safe, and conducive to productivity. 2.Calendar Management: Manage the schedules and appointments of senior executives. Coordinate meetings, conferences, and travel arrangements as needed. 3.Communication: Serve as a primary point of contact for internal and external communications. Distribute information to relevant parties in a timely manner. 6.Data Entry and Reporting: Enter data into databases and systems accurately. Generate reports, presentations, and spreadsheets as required by management. 7.Administrative Support: Provide administrative support to various departments and staff members. Assist with projects, presentations, and other tasks as assigned. 8.Vendor Management: Coordinate with vendors and suppliers for procurement of office supplies, equipment, and services. Negotiate contracts and agreements to ensure favorable terms for the organization. +.Budgeting and Expense Management: Assist in budget preparation and monitoring. Track expenses, process invoices, and reconcile accounts as necessary. 10.HR Support: Assist the HR department with recruitment, onboarding, and employee relations activities. Maintain employee records and assist with payroll processing if required. 11.Event Planning: Plan and coordinate company events, meetings, and conferences. Arrange venues, catering, audiovisual equipment, and other logistics as needed. 12.Policy Compliance: Ensure compliance with company policies, procedures, and regulations. 13.Stay updated on relevant laws and regulations affecting administrative functions. 14.Problem Solving: Address administrative issues and concerns in a timely and effective manner. Identify areas for improvement and implement solutions to enhance efficiency and productivity. 15.Drivers Management: Coordinate the scheduling and duties of company drivers. Ensure vehicles are properly maintained and compliant with safety regulations. Monitor fuel consumption and maintain accurate records. 16.Travel Desk: Arrange travel accommodations, including flights, hotels, transportation, and visa processing for employees and executives. Provide travel itineraries and assistance with travel-related issues as needed. 17.Facility Management: Oversee the maintenance and cleanliness of office facilities. Coordinate repairs, renovations, and safety inspections. Manage facility-related contracts and service agreements. 18.Courier Management: Handle incoming and outgoing mail and packages. Coordinate courier services for timely delivery of documents and parcels. Maintain accurate records of shipments and tracking information. Skills and Qualifications: Bachelor's degree in Business Administration, Management, or related field. Proven experience as an administrative assistant, executive assistant, or similar role. Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and office management software. Excellent communication, organizational, and time management skills. Attention to detail and ability to multitask in a fast-paced environment. Strong interpersonal skills and the ability to work effectively with diverse teams.
