Administrative Assistant – Health Aesthetics Clinic (Front Desk Support Role)
Calgary, AB | Full-Time, On-Site | $20–$25/hour | Monday–Friday

We’re looking for a professional, proactive, and detail-oriented Administrative Assistant to support our Administrative Manager and ensure our front desk operates smoothly, efficiently, and with a touch of excellence.
About the Role:
The Administrative Assistant will serve as the right hand to our Administrative Manager. You’ll be involved in every aspect of front desk operations— from welcoming patients and answering phones to managing email inquiries and ensuring appointment accuracy. You’ll help keep things running like clockwork while delivering exceptional service to patients at both our medical and aesthetics divisions.
Key Responsibilities:
Front Desk Operations Patient Support:
Greet and check in patients with professionalism and warmth
Schedule appointments, confirm bookings, manage cancellations and rebookings
Answer and manage multi-line phone calls, voicemails, and email correspondence
Respond to patient inquiries with empathy and accuracy, both in person and virtually
Collect payments, issue receipts, and explain payment plans or package details
Maintain the cleanliness and organization of the front desk and waiting area
Administrative Duties Manager Support:
Support the Administrative Manager in daily clinic operations
Assist in enforcing scheduling protocols and operational checklists
Help coordinate the flow of patients between medical and aesthetic appointments
Prepare intake forms, update EMRs, and ensure proper documentation
Track administrative tasks and communicate with other departments as needed
Assist with inventory management (forms, office supplies, patient materials)
Team Communication:
Participate in team huddles, training, and staff meetings
Help uphold the clinic’s professional image and patient-first culture
Coordinate with clinical staff to ensure patients receive seamless care
What We’re Looking For:
1+ year of front desk or administrative experience (medical, wellness, or spa/aesthetics preferred)
Confident communicator with excellent phone, email, and in-person etiquette
Comfortable with technology — able to learn clinic software (e.g., Jane, Mindbody, etc.)
High attention to detail and the ability to stay organized under pressure
Professional demeanor, punctual, and reliable
A natural team player who thrives in a collaborative setting
Strong multitasker with a customer service mindset
Compensation Schedule:
Pay: $20–$25/hour based on experience
Schedule: Monday to Friday, full-time
Type: Contract position (ongoing full-time, on-site)
