Full job description
Kogan People Solutions, specialist recruiters, are partnering with a successful medical centre in Glen Huntly Vic as they seek their new Office Manager. The Office Manager will ensure the smooth running of administrative operations while supporting clinical staff and maintaining compliance with healthcare standards.

· Location Glen Huntly Vic

· Salary – negotiable in the range $75-80k per annum plus superannuation

· Tenure- full time and ongoing

Responsibilities of this critical appointment will include:

Administrative Oversight

Manage patient records and ensure confidentiality
Oversee appointment scheduling and reception duties
Maintain office supplies and medical inventory
Staff Coordination

Supervise administrative staff
Allocate tasks and monitor performance
Coordinate training and onboarding
Financial Compliance Management

Monitor budgets, billing, and payroll
Ensure compliance with healthcare (e.g. Medicare, NDIS ) regulations and privacy laws
Liaison with external providers (e.g. insurers, suppliers)
Facility Workflow Management

Implement and review office policies and procedures
Ensure equipment and facilities are maintained
Support doctors and nurses with operational needs
To be considered applicants must demonstrate following attributes and qualifications:

AQF Diploma or higher in Business Administration, Management, or a related field, or agreed substitute
Minimum 1 or more years of highly relevant employment, ideally in a healthcare or office management setting
Proven ability to manage staff and coordinate administrative functions
Strong organisational and time-management abilities
Knowledge of medical terminology and healthcare systems
Proficiency in office software and electronic health records
Excellent communication and customer service skills
Understanding of occupational health and safety regulations
Ability to handle sensitive patient data with discretion
You must have unrestricted full time Australian working rights to be considered.
