Job Description

This role is for an experienced and enthusiastic Real Estate Executive Assistant fluent in real estate support.


We are a high-performing real estate team based in Vancouver, and we’re looking for a full-time, in-person Real Estate Executive Assistant to help lead and elevate our internal operations. This is a key strategic role that supports a dynamic team by overseeing all administrative, transaction, marketing, client care, and operational functions.


We’re searching for a proactive, detail-oriented Executive Assistant who can take charge of managing and optimizing our day-to-day operations. In this leadership-focused position, you will guide and support all areas of the business - from administration and marketing to client care and general operations - ensuring our realtors can stay focused on sales and relationship building. You’ll also serve as the central point for systems management, team accountability, and overall operational continuity.

Monday to Friday, * am-5 pm (with occasional evening and weekend work as needed)
Compensation:
$65,000 - $70,000 yearly + bonus structure

Responsibilities:
CRM Management: Maintain and update client databases to ensure accurate and timely communication and follow-up
Transaction Coordination: Manage workflows and timelines for listings and purchases from start to finish
Client Communication: Act as the primary point of contact, providing consistent and professional updates throughout the buying or selling process
Buyer Tour Coordination: Organize and schedule property showings based on client preferences and availability
Email & Calendar Management: Handle inboxes, schedule appointments, and keep team members organized and on track
Marketing Preparation: Assist with creating and coordinating listing materials, brochures, and promotional content
Social Media & Website Management: Oversee content creation, posting, and engagement to maintain a strong online brand presence
Event Planning: Plan and execute client appreciation events, open houses, and team functions from concept to completion
Qualifications:
Minimum 2 years of experience in real estate operations or team management
Valid BC driver's license and reliable vehicle
Strong leadership and supervisory skills
Excellent organization, delegation, and follow-up habits
Experience managing multiple team members and projects simultaneously
Able to take initiative and anticipate needs before they arise
Strong communicator who thrives in a fast-paced, collaborative environment
