Position Summary:

The Property Portfolio Assistant will provide administrative support to the Portfolio Manager to ensure smooth operations across their assigned properties. This role will organize and maintain sensitive documents and interact with residents and contractors. This role further requires the Property Portfolio Assistant to be an effective time manager, pay keen attention to detail, and interact with the public.

Essential Duties and Responsibilities:

Financial and Compliance Management
• Perform rent collection by collecting, monitoring, and delivering outstanding balances, notices, and follow-ups.
• Execute general policies and best practices set by HomeEd.
• Remain current with industry standards and all relevant legislative requirements.
• Maintain and organize both electronic and physical confidential files for regulatory compliance and efficient property management.

Tenant Coordination and Communications
• Coordinate tenant move-ins and move-outs.
• Communicate information with residents and contractors in HomeEd properties.
• Assist in resolving resident questions and concerns.
• Maintain sustainable and professional relationships with all real estate and property personnel, residents, and contractors.

Operational and Strategic Support
• Coordinate and conduct meetings and events, where appropriate, to ensure the proficient operation and promotion of HomeEd properties.
• Contribute to property management leasing strategies.

Health, Safety & Environment
• Prioritizes the safety of self and all employees by following HomeEd’s safety protocols and policies. This duty requires a proactive approach to completing field-level or positional-level hazard assessments, as well as actively participating in improving the overall safety culture of HomeEd.

Other duties, relevant to the position, shall be assigned as required.

Qualifications:
• Post-Secondary Diploma in a related field
• Experience in an administrative role, preferably in the real estate or property management field.
• Experience and understanding of the Residential Tenancy Act.
• Proficient in Google Workspace products (Gmail, Drive, Docs, Sheets, Slides, Forms, etc)
• Familiarity with non-profit environments, including reporting to regulatory agencies.
• An equivalent combination of training, education, and experience that would provide the required knowledge and abilities may be considered.
• A valid driver’s license and access to a vehicle with business use insurance.
• Successful applicants will be required to submit a satisfactory Vulnerable Sector Police Information Check.

Annual Salary Range:

$48, 500 - $65, 500
