What we are looking for:-
We are seeking a hands-on and execution-focused Project Manager – Systems & Operations (AppFolio Expert) to lead system-driven initiatives and operational transformation projects.
This is not a traditional coordination role—you will be directly involved in building workflows, optimizing processes, and implementing scalable solutions, especially within AppFolio and related systems. You will work closely with cross-functional teams to identify inefficiencies, design practical solutions, and ensure successful adoption across the organization.
Job Responsibilities
Project Ownership & Execution
• Lead end-to-end systems and AppFolio projects from discovery to rollout
• Gather business requirements and translate them into actionable workflows
• Manage timelines, priorities, stakeholders, and risk mitigation
Systems & Workflow Development
• Design, build, and optimize workflows within AppFolio and other operational systems
• Develop SOPs, templates, and process documentation
• Continuously improve system performance and usability
Vendor Management & Escalation
• Act as the internal escalation point for system and workflow issues
• Coordinate with external vendors (including AppFolio) to troubleshoot and implement solutions
• Oversee system testing, validation, and deployment
Training & Adoption
• Conduct training sessions, demos, and hands-on workshops
• Drive adoption of new workflows and ensure clarity on process changes
• Support teams in real-time to ensure smooth implementation
Cross-Functional Collaboration
• Partner with Operations, Leasing, Maintenance, Accounting, HR, IT, and Leadership teams
• Bring structure and clarity to complex operational challenges
• Identify gaps and recommend scalable, practical improvements
Requirements
🎓 Bachelor’s degree in Business, Operations, Finance, or a related field
💡 5+ years of experience in project management, operations, or systems implementation
🏢 Prior experience in real estate or property management is preferred
⚙️ Strong experience in building and optimizing workflows in operational systems
🤝 Experience working with external software vendors
You Must Have
🕒 Willingness to work in Pacific Time (PST) shifts.
💻 Hands-on expertise in AppFolio (mandatory)
🗣️ Strong communication and stakeholder management skills
📊 Excellent problem-solving and analytical abilities
⚡ Ability to work in fast-paced, evolving environments with minimal supervision
🎯 Experience leading system rollouts, trainings, and process adoption
