Our comprehensive range of programs and services relies on collaborative relationships with individuals, businesses, community groups and government bodies to create focused, effective and responsive resources for the community.

Position Overview
We are looking for a dedicated and organized Program Assistant to join our Counselling Services team. If you’re passionate about supporting a meaningful cause and helping individuals in need, this could be the perfect opportunity for you! You will play a vital role in assisting with the administrative and clerical needs of the department, ensuring smooth operations and providing valuable support to both our team and the community.

Reporting to the Program Manager or designate, our selected candidate will be providing administrative support across multiple counselling programs, including Sexual Abuse Counselling (SAC), Family Counselling Program (FCP), and Suicide Prevention and Education Counselling Services (SPEAC). Key responsibilities will include managing intake and referral processes, coordinating client appointments, maintaining waitlists, managing client files, and handling data entry. The role also includes acting as the primary contact for the Crime Victim Assistance Program, answering calls, providing community resources, supporting program reporting, and maintaining office materials. Additional duties involve liaising with community agencies, assisting with court document preparation, providing technical support, and ensuring smooth onboarding for new staff.

Qualifications
The ideal candidate for this position will have a diploma in social services or a related field, with office administration training or a combination of education and relevant experience in community engagement. Proficiency in MS Word, Excel, PowerPoint, Publisher, and email management is required, and first aid certification, second language skills, and crisis line experience are assets.

The candidate should possess strong organizational skills, attention to detail, and the ability to prioritize tasks effectively. Strong written and verbal communication skills, discretion with sensitive information, and a commitment to working collaboratively with teams are essential. A broad knowledge of community resources, cultural sensitivity, and a problem-solving mindset are also important.

This role requires the incumbent to undergo a Police Information Check (PIC), and a Vulnerable Sector Check by the Ministry of Justice.
