To support this growth, we are seeking a highly organised and proactive Operations & Logistics Coordinator to support the planning and execution of our national event operations.

Purpose of the Role

The Operations & Logistics Coordinator is responsible for the planning, coordination, and execution of freight, logistics, consumables ordering, and organisational systems that support ARTISAN DC (Artisan Direct Commerce) exhibition and event operations across Australia and New Zealand.

This role ensures that stock, consumables, equipment, people, and timelines are aligned so events are prepared efficiently and teams are fully supported — both operationally and commercially. It requires exceptional attention to detail, strong organisational skills, and the ability to manage multiple priorities in a fast-paced event environment.

Key Responsibilities

Freight & Logistics Coordination

Plan, book, and track freight movements for stock, equipment, and exhibition materials
Coordinate delivery and collection schedules to meet event timelines
Liaise with freight providers, venues, and internal teams to ensure smooth logistics
Monitor freight costs and identify efficiency improvements
Troubleshoot delays, damages, or logistical issues calmly and effectively

Maintain accurate freight documentation, manifests, and stock movement records
Consumables & Stock Ordering

Forecast, order, and manage consumable supplies required for events and operations
Maintain accurate records of usage and reorder points
Coordinate timely delivery of consumables to events, warehouses, or team locations
Work closely with suppliers to ensure quality, availability, and cost control
Reduce shortages, over-ordering, and waste through proactive planning
Event Preparation & Organisation

Create and manage detailed event preparation timelines and checklists
Coordinate stock levels, equipment needs, and stand requirements for each event
Ensure all event kits are prepared, packed, and dispatched accurately
Support stand setup and pack-down planning to optimise on-site efficiency
Maintain organised systems for event assets, inventory, and documentation
Marketing & Brand Support

Support Marketing and Brand teams with event-related materials and logistics
Coordinate ordering, storage, and dispatch of marketing collateral and promotional items
Ensure marketing materials are current, available, and presented correctly at events
Assist with signage, samples, giveaways, and basic event marketing coordination
Capture feedback from events to support marketing improvements and campaigns
Operational Support & Systems

Support Event Managers with planning, scheduling, and operational coordination
Maintain clear communication across logistics, marketing, events, and on-site teams
Assist in developing and improving organisational systems and workflows
Ensure compliance with safety, handling, and operational standards
Provide hands-on problem-solving support both on-site and behind the scenes
Culture, Care & Communication

Uphold ARTISAN DC’s “We Look After Each Other” ethos through reliable teamwork
Communicate clearly, calmly, and proactively with all stakeholders
Support team wellbeing by ensuring events are well-organised and pressure is minimised
Escalate issues appropriately with a solutions-focused mindset
Reporting & Continuous Improvement

Provide post-event feedback on freight performance, consumables, and logistics outcomes
Track usage, costs, and inefficiencies to inform future planning
Identify recurring issues and contribute ideas for process improvement
Skills, Experience & Attributes

Experience in logistics, freight coordination, operations, event support, or supply chain roles
Strong organisational, planning, and time-management skills
Experience with ordering, inventory control, or supplier coordination
Ability to manage multiple timelines and priorities simultaneously
Clear, confident communicator with internal teams and external partners
Calm, proactive, and solutions-focused under pressure
Comfortable working in hands-on, fast-paced event environments
Flexibility for travel, weekend work, and multi-day events
Work Environment
