Role Overview
The Office Support Coordinator provides a range of support services to both internal and external stakeholders. Key responsibilities include managing reception as the first point of contact, overseeing kitchen facilities and supplies, coordinating catering and events, and supporting day-to-day office operations. The role also supports the Executive Assistant to the CEO and Corporate Facilities Manager with administrative tasks and provides accreditation administration support during periods of leave or as required.
Key Accountabilities
Manage the front office and reception including responding to queries, greeting and providing support to visitors
Maintain polite and professional communication with both internal and external stakeholders
Coordinate visitor, contractor and delivery access in accordance with office procedures
Coordinate catering for internal and external meetings, events and board functions
Assist the EA with event coordination, including room setup, catering coordination, event logistics and post-event pack down
Set up for and assist with the execution of sales and broker events
Assist with the upkeep of the kitchen area including unstacking the dishwasher, unpacking fruit and snack boxes
Book and assist with setting up of meeting rooms
Purchase and inventory management for the office
Manage deliveries and office supplies
Liaise with building management, cleaners, suppliers and service providers to support day-to-day office operations
Records management for lockers, keys and first aid
Assist with employee onboarding administration, including locker key allocation and workstation preparation
Positive contribution to company culture and work environment accreditation administration support during periods of leave or as required
About You
You will have prior experience in reception, front-of-house or customer facing roles
Proficiency in Microsoft Office applications, including Outlook, Word, Excel and Teams
Strong multi-tasking and time management skills
Be a clear and confident communicator
Professional presentation with strong attention to detail
Previous administrative experience in the financial services sector would be desirable but is not essential
