MEMBERSHIP LIAISON OFFICER/ADMINISTRATIVE COORDINATOR
Job Description
The AJC is currently seeking a Membership Liaison Officer/Administrative Coordinator who is interested in working in a dynamic, small team setting that promotes the value and worth of federal public service lawyers and seeks to improve their working conditions.

ABOUT THE POSITION
Reporting to the Director of Corporate Services, the Membership Liaison Officer and Administrative Coordinator provides cross functional support to the Administrative Support Services and Representation Services teams by supporting AJC’s administrative and finance needs, ensuring AJC Databases are regularly updated, addressing member inquiries, and re-directing as needed.
RESPONSIBILITIES
Administrative Support Services
Reviews all incoming correspondence, triages and redirects as needed.
Ensures that member data is accurate and maintained appropriately and that exclusions are effectively tracked.
Reviews, updates, and validates data as appropriate, and ensures the integrity and ongoing functionality of the Association’s membership, dues, exclusions and case management databases.
Documents processes.
Creates, maintains, and generates a variety of reports required for statistical, dues revenue and operational requirements.
Provides coaching to employees on database systems use and trouble-shooting IT issues as may be required.
Provides support for Dues Management by reconciling dues, preparing reports, and identifying discrepancies.
Supports Finance with invoice preparation and verification, inventory management.
Contributes to the Association’s website content and makes recommendations on design improvements as well as assisting with updates and maintenance as required.
Arranges all mail/courier, purchases office supplies, coordinates meeting logistics, travel, office security etc.
Provides calendar scheduling support for LROs or others as required in the shared office calendar.
Provides back up to other positions as required.
Representation Support Services
Acts as the primary point of contact for the AJC on all member inquiries, conducts initial intake, responds or assigns as appropriate to responsible individuals.
Facilitates and supports new membership enrolment and membership approval.
Prepares and provides welcome packages to all new members and addresses all general inquiries relating to the benefits of membership.
Tracks AJC representation on Employer health and safety committee and other committees.
Supports the Representation Services team by assisting members with the grievance process, preparing and remitting grievance timelines, AJC submissions, filings, hearing schedules, and maintaining required reports.
Work is fast-paced, timelines are tight and at times under pressure.
STATEMENT OF QUALIFICATIONS
Diploma in Office Administration or equivalent field.
Minimum of 3 years’ experience in providing administrative support and coordination.
Project management training, an asset.
Commitment to union principles.
Strong initiative, administration, organizational, planning and time management skills to work in a fast-paced environment with shifting priorities.
Attention to detail, analytical and problem-solving skills.
Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
Demonstrated ability to work effectively in a team environment.
A dynamic communicator with established customer service skills who can connect, both verbally and in writing, with different people in a calm, courteous, and effective manner.
Experience with methods and techniques of data entry, retrieval and manipulation.
Demonstrated knowledge of automated systems and applications.
Ability to prioritize workload and work under time constraints.
Experience working with databases and financial systems.
Ability to communicate verbally and in writing in both official languages.
COMPENSATION AND OTHER BENEFITS
1. COMPETITIVE SALARY COMMENSURATE WITH EXPERIENCE: $59,058.17 – 84,914.20

4. VACATION: 4 weeks/year to start in addition to December holiday season and other paid leave
5. JOB TERM: Indeterminate Full-time (35 hours per week)
