Legal Secretary
Job Description
The Legal Secretary provides support to the attorney and staff including but not limited to conflict checking and scheduling new and existing clients, file creation/archiving, managing incoming and outgoing mail and tracking when necessary, receiving and/or scanning all incoming correspondence and distributing accordingly, filing documents with the court, distributing documents via mail, email, and/or fax. The Legal Secretary position is often the first point of contact with the company both in person and by telephone. One will find success in this position by having a positive team-oriented attitude, by providing over-the-top customer service, having excellent telephone/communication skills, by being reliable, and by being able to work independently with little to no supervision while completing work efficiently and on time. The Legal Secretary is an essential piece in the overall success of the company and directly impacts the workflow of all staff as well as the ability to serve clients with competence and care.
Primary Responsibilities/Expectations (not exhaustive)
Keep front desk tidy and presentable.
Greet and welcome guests.
Opening and closing procedures for the office.
Checking and returning voicemail messages immediately upon arrival and/or return.
Answer incoming calls and redirect them to appropriate staff and/or take messages.
Receive letters, packages, etc. and distribute them.
Check, sort, and process emails.
Monitor office supplies and notify appropriate staff when need to order.
Keep updated records and files for front office.
Maintaining up to date filing as received/filed.
Accept and process payments in person and over the telephone.
Never give any form of personal or legal advice.
Take up other duties as assigned, works independently, completes daily work on time and efficiently.
Reviews daily schedule and communicates changes to staff, especially the attorney.
Opens and closes client files, including archiving files.
Takes initiative to identify areas of improvement for front office and make recommendations to Office Manager/Attorney.
Stays up to date on email communications, incoming and outgoing correspondence.
Communicates with clients, staff, court employees, etc. appropriately and respectfully.
Actively willing to assist with any task, nothing too little or too big.
Always asks clarifying questions when necessary.
Maintains a positive attitude and strict confidentiality at all times.
Travel to and from post office daily for incoming and outgoing mail.
Assume key role in managing day to day operations of the front office and provide over the top customer service to peers, internal clients, and external contacts.
Assists Attorney, Office Manager, and Legal Assistant as needed on a variety of administrative tasks.
File, organize, scan, copy and fax legal documents in a timely manner.
Manage electronic files and other internal data, including coordinating e-signing procedures for signatories.
Participate in and contribute to special legal projects as needed.
Travel to and from courthouse to file documents daily.
Foster professional, cooperative, and supportive relationships with peers, internal clients, and all external contacts.
