HR Specialist, HR Shared Services
The HR Shared Services Specialist serves as the first point of contact for employees and managers, delivering timely, accurate, and customer-focused HR support. This role is responsible for resolving HR inquiries, completing HR transactions, and escalating complex cases as appropriate.
This position plays a critical role in enabling consistent, high-quality employee experience through standardized processes, self-service adoption, and effective case management across a global HR Shared Services model supporting APAC, EMEA, and US regions.
Location: India, Gurugram
Functions
Serve as the initial contact for HR inquiries received through Vantive’s case management system (HRCentral).
Respond to employee and manager questions related to core HR processes and policies, with a strong focus on Workday transactions and HRIS-based activities.
Provide clear guidance and education to promote self‑service and correct use of HR tools and resources.
Support employees and managers across multiple geographies, ensuring consistent service delivery.
Validate requests for completeness and accuracy prior to processing.
Ensure data accuracy and compliance with defined HR data standards
Support Tier 1 HR defensive audits, following established work instructions.
Accurately document inquiries, actions taken, and outcomes within Vantive’s case management system (HRCentral).
Identify issues requiring escalation and partner with Manager and key stakeholders as appropriate for escalation.
Follow up on open cases to ensure timely resolution and positive customer experience.
Utilize and contribute to HR knowledge base articles, FAQs, and job aids.
Identify recurring issues or trends and flag opportunities for process improvements or knowledge enhancements.
Support adoption of standardized processes, automation, and self‑service solutions.
Support special projects as assigned.
Qualifications
A minimum of 5 years in HR.
Basic knowledge of human resources including talent acquisition, benefits, compensation, organizational design/development, M&A, employee communications, training and development, employee relations policies, etc.
Experience working in an HR Shared Services or service center model.
Exposure to HRIS platforms (e.g., Workday) and case management tools.
Customer‑focused and service‑oriented approach
Strong written and verbal communication skills
Attention to detail and accuracy
Collaborative mindset with willingness to escalate appropriately
