Job Summary
We are seeking a Front Desk / Medical Receptionist who is organized, professional, and able to manage high patient volume while maintaining accuracy and HIPAA compliance. This role is essential to clinic operations and patient flow. Attention to detail and accountability are required.
Key Responsibilities
Patient Check-In
Greet patients professionally, maintain eye contact, and ensure proper sign-in
Verify and update patient demographics, insurance, HIPAA forms, and documentation
Scan IDs, insurance cards, and required forms for new patients
Ensure insurance eligibility has been verified prior to visit
Collect copays, balances, deductibles, and lab fees when applicable
Accurately update patient status in EMR (ECW)
Coordinate patient flow with Medical Assistants and providers
Take patient's vitals when needed.
Patient Check-Out & Scheduling
Schedule follow-up appointments, referrals, and diagnostic testing
Review provider orders (including future orders) prior to check-out
Confirm prescriptions were sent to the correct pharmacy
Ensure patients have access to the patient portal
Address incomplete check-outs and delayed encounters
Administrative & Office Support
Handle cash payments following office protocol
Scan, upload, and securely manage patient documents (HIPAA compliance)
Assist with confirmations, eligibility checks, and next-day scheduling
Manage faxes, referrals, pre-op documentation, and general clerical duties
Support clinic campaigns (physicals, follow-ups, school physicals, etc.)
Patient Safety & Professionalism
Identify and escalate critical patients immediately
De-escalate upset patients and involve supervisors/providers as needed
Ensure no patient leaves without provider notification
Maintain strict confidentiality at all times
Required Qualifications
Minimum 1 year experience in a medical front desk or healthcare setting
Strong knowledge of HIPAA and patient privacy standards
Experience with EMR systems (ECW preferred)
Comfortable handling payments and insurance verification
Bilingual (English/Spanish) preferred
Strong communication, organization, and multitasking skills
Reliable, punctual, and detail-oriented
Pay: $19.00 - $21.00 per hour
