Financial Services Front Desk Representative
Job Description
The goal is to make clients and visitors feel comfortable and valued while on our premises.
Responsibilities
Greet and welcome clients and visitors as soon as they arrive at the office
Direct clients and visitors to the appropriate person and office
Answer, screen and forward incoming phone calls to an appropriate person
Record accurate written messages using a written template
Keep the front desk tidy and presentable
Ensure reception area is tidy and presentable, drink station refilled and stocked
Provide basic and accurate information in-person and via phone/email
Receive, sort and distribute daily mail/deliveries
Maintain office security by following safety procedures and controlling access via the reception desk
Order front office supplies, beverages, snacks, cleaning supplies and paper goods and keep inventory of stock
Order lunches and catering as requested ( on occasion per request)
Update calendars and schedule meetings per request
Perform other clerical duties such as filing, photocopying, transcribing notes, faxing and occasionally check deposits
Take up other duties as assigned
Requirements and skills
Proven work experience as a Receptionist, Front Office Representative or similar role preferably in a financial services office or law office
Proficiency in Microsoft Office Suite / Teams
Hands-on experience with office equipment (e.g. fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school degree; Associate degree in Business Administration or additional certification in Office Management is a plus
