The role in focus is for an Event Planning Manager, an integral part of Stefanini Group’s dynamic team. This position offers a unique opportunity to orchestrate live, face-to-face educational programs that have a significant impact on healthcare providers including physicians and nurses. The Event Planning Manager is responsible for creating and executing compelling events such as Symposia, Advisory Boards, Steering Committee Meetings, and Masterclasses tailored to diverse therapeutic areas worldwide. This role perfectly suits individuals with a knack for organization, problem-solving, and leadership combined with a passion for communication. The manager will oversee the entire event lifecycle, including venue and vendor sourcing, contract negotiations, food and beverage options, onsite supervision, and coordination of audiovisual and furniture setups. Their responsibilities extend to budget management, forecasting, cost control, and collaborating with financial operations to ensure smooth payment and reconciliation processes.
Collaboration is key in this role, with close partnership required with program management and audience engagement teams to develop strategic onsite marketing that boosts attendance. The successful candidate will also train freelance and associate event staff whilst continually seeking to improve internal processes and attendee experiences. This position demands a high level of agility, creativity, attention to detail, and the ability to perform under tight deadlines in a fast-paced environment. The Event Planning Manager must be comfortable with traveling up to 40% of the time, including weekend and evening work, with potential international travel. The role requires lifting up to 50 pounds during the preparation and execution of events onsite. Ideal candidates will possess a Bachelor’s degree, with CMP certification considered advantageous, and at least five years of relevant event planning experience, preferably in the healthcare industry. Proficiency in Microsoft Office, Google Applications, and familiarity with event management tools like Workfront are essential.
